Job Descriptions - Board of Directors
President
The president is generally responsible for oversight of board governance and operations at BC TEAL. The president is an ex-officio member of all committees. Along with the Executive Committee, the president provides strategic leadership for the organization. Duties include:
chairs all general meetings, and meetings of the Board and of the Executive Committee,
represents the Association to the public, news media, governments, and others,
is the chief executive officer of the Association, unless one is appointed under Bylaw 9.6,
supervises the directors and the other officers in the execution of their duties,
has the responsibility and authority generally pertaining to the office of President,
subject to any limitations imposed by the bylaws and by resolution of the Board.
1st Vice President
The First Vice-President, in the President’s absence or inability to act, must perform the duties of the President.
Chairs and leads advocacy and policy initiatives within the organization
Chairs the Staffing Committee
2nd Vice President
chairs all conference committee meetings
Organizes the staging of the annual conference which involves the elements:
Venue selection
Theme composition
Plenary choice
Food and Catering implementation
Schedule of the conference
Venue logistics and AV
Exhibitors and Sponsors
Presents for approval to the board several elements of the conference such as the budget, the theme, and the selection of plenary speakers
Liaises with President on the logistics and theme of plenary presentations
Liaises with 2nd Vice president on the needs and logistics surrounding exhibitors and sponsors
Treasurer
The Treasurer is responsible for monitoring the finances of the BC TEAL board and reporting on them at monthly board meetings.
Monitoring Finances involves:
Looking at the BC TEAL general account and making sure that transactions are in sync with board operations.
Looking at budgets and account activity from previous years to learn about cycles of cost, revenue, changes in monthly expenditures,etc
Notify admin and/or accountant if any unusual transactions show up on the account
Monitor expenses and revenue to ensure that it is in alignment with the annual budget projections
Keep track of monthly expenses (e.g. Basecamp, Peninsula HR, Admin salary, etc)
Keep track of expenses made on the Board Credit Card
Cross check payments set up by the accountant with payments awaiting approval
Approve payments on online bank account
Consult with the accountant on any financial activity that raises concern or that may deviate from budget projections
Researching
Reporting on Finances involves:
Drafting an annual budget and presenting it at the December board meeting for questions, input, and final approval
Looking ahead and noting any potential cash flow issues in regards to upcoming expenses, and reporting these to the board at monthly meetings
Board Secretary
The Secretary makes the necessary arrangements for the:
issuing of notice and minute-taking of meetings of the Association and the Board,
the conduct of the correspondence of the Association,
has custody of all Official Records and documents of the Association except those required to be kept by the Treasurer,
custody of the common seal of the Association, if any
maintain the register of members.
Membership Chair
The membership chair is responsible for the coordination with BC TEAL members and volunteers.
Keeping in touch with BC TEAL volunteers and referring them to the right committee based on the committee needs and the volunteers’ interests.
Organize events to recruit new members.
Recruit new volunteers specially for the annual conference.
Respond to the members and volunteers emails.
Work closely with digital media chair to promote BC TEAL in order to recruit/keep in touch with members and volunteers.
PD Chair
Overview: The PD chair is responsible for organising professional development opportunities for members throughout the year to keep BCTEAL relevant to our members and to engage the community with their peers. This volunteer role contributes to BC TEAL’s mission by ensuring engagement, support, and growth.
Key Responsibilities:
Plan various PD opportunities - events, networking meetings, written communication that engages members;
Liaise with possible service external providers - speakers, authors, institutions;
Liaise with chairs when supporting local events, conferences, and the EAL week in the different regions in BC.
Coordinate with the communications team to ensure timely registration;
Oversee the organisation of events when necessary;
Provide support to event chairs/ organisers.
Digital Media Chair
The Digital Media Chair maintains and manages BC TEAL’s digital communications and online presence across social media and multimedia platforms, ensuring that information about events, initiatives, and updates is shared in a timely, professional, and consistent manner. The Chair supports coordinated messaging that aligns with BC TEAL’s strategic goals. The role ensures brand consistency, promotes engagement within the EAL community, and upholds the organization’s values of professionalism, inclusivity, and respect. While the BC TEAL website remains the official source of record for policies and formal announcements, the Digital Media Chair supports outreach and visibility through relevant digital channels.
Key Responsibilities
- Manage BC TEAL’s social media and digital platforms (e.g., Instagram, LinkedIn, X, YouTube, Facebook) and coordinate scheduled posts and campaigns to promote conferences, events, and initiatives.
- Collaborate with board members to ensure messaging is accurate, timely, and aligned with BC TEAL branding and communications strategy.
- âMaintain professional, inclusive, and community-focused communication that reflects the diverse interests of EAL professionals
- Ensure appropriate approvals for sensitive or policy-related communications and maintain secure transfer of digital accounts, assets, and documentation during Board transitions.
- âCoordinating/Supervising the volunteers, setting priorities, workflows, and timelines
Editor
The TEAL News Editor leads the creation of BC TEAL’s monthly emailed newsletter, helping keep members informed about events, resources, and developments in the EAL community. This volunteer role strengthens BC TEAL’s mission by ensuring clear, engaging, and timely communication.
Key Responsibilities
Plan and produce a monthly email newsletter for BC TEAL members
Gather updates, announcements, and contributions from board members, committees, partners, and the wider EAL community
Edit and refine content for clarity, accuracy, and alignment with BC TEAL’s values
Format the newsletter using BC TEAL’s preferred email platform and templates
Maintain a consistent editorial voice and uphold high standards of professionalism and inclusivity
Coordinate with the communications team to ensure timely distribution and promotion
Qualifications
Strong writing and editing skills
Experience with newsletters, communications, or digital publishing (professional or volunteer)
Comfort working with email marketing tools or willingness to learn
Ability to collaborate and meet monthly deadlines
Interest in English language education and community engagement
Time Commitment
Approximately 10 hours per month, with increased activity during newsletter production.
Business Development Chair
The Business Development Chair works on marketing and advertising strategies for the organization as well as maintains and cultivates business partnerships of mutual benefit with companies that align with BC TEAL mission, vision, and values.
Key responsibilities:
Lead advertising and marketing initiatives
Maintain partnerships with companies that align with BC TEAL
Cultivate business relationships that contribute to the financial stability of the organization
Member-at-Large
A Member-at-Large is responsible for completing general duties of a director, such as attending board meetings, reporting on activities, and participating on standing committees. A Member-at-Large may also take on a specialized role according to their skills, experiences, and talents as deemed necessary by the board.
